Publish and send a form
Publish a saved draft, send it in a WhatsApp conversation, or attach it to a message template.
Publish a form when its questions and preview are ready for customers. You can send a published form from the inbox during the reply window, or use it in an approved message template.
Before you start
Save your draft and resolve all validation errors. To send from the inbox, use a WhatsApp conversation on the same account with an open 24-hour reply window.
Who can do this: publishing requires viewing channel connections and viewing and managing forms. Sending requires permission to view forms and the conversation and to send messages. Using a form in a template also requires viewing forms and managing templates. The workspace owner can assign these permissions.
Publish a draft
Check the saved form
Open the draft from the account's Flows page. Review its screens and Form preview, then select Save draft if anything changed.
Publish
Select Publish. Read the confirmation, then select Publish form (1). You can also choose Publish from a draft's actions menu in the list.
Published content is read-only. Use Duplicate in the list or Duplicate to edit in the builder to create a revised draft. Save and publish that new version before using it.
Send from the inbox
Open the form dialog
In Inbox, open the WhatsApp conversation. In the composer, select Attach, then Form (Flow).
Choose the form and message
In Send a form, choose Published form (1) and Entry screen. Enter Message body (2) and Button label. You can also add an optional header and footer.
The message body allows 1,024 characters. The button label allows 20; header and footer allow 60 each.
Send
Check Message preview, then select Send form (3). Customers use the button to open the form in WhatsApp.
Use a form outside the reply window
On Flows, open a published form's actions menu and select Use in template. The template builder opens with that form selected. Choose Marketing or Utility, complete the message and form button text, then submit it for review. Send it only after the template is approved.
You can also choose Form in the template builder's setup step. See create a message template.
Retire or delete a form
- To retire a Published form, select Deprecate from its actions menu, read the warning, then select Deprecate form. Customers can no longer open it, including from earlier messages. This cannot be undone.
- To remove a Draft, select Delete, read the confirmation, then select Delete form. Deletion is permanent. Only drafts have this action.
Troubleshooting
If Publish is disabled, save the latest changes and resolve the errors. If the form is absent from Published form, check its account and status, then try Load more forms. The picker supports published forms that work without an external data connection.
If Form (Flow) or Send form is unavailable, check the reply window and sending access. Remove any attachment from the composer before opening the form dialog.
